Things to know before hiring Epic Motion for your wedding.

BOOKING: How quickly do you book up?
This is a great question! Sometimes people book us TWO YEARS before their wedding – and other times TWO WEEKS before their wedding. We tell people that once you know you’re getting married – don’t beat around the bush to start interviewing the companies for the parts of your wedding that are most important to you. We also suggest that once you meet with us and we all determine that it could be a great fit, don’t wait. If you’re not sure about exactly what you want to add to your “order” – no worries – we have a solution for that, too!

DESTINATION WEDDINGS: Can you film my wedding even though it’s across the globe?
Are you kidding me?!?! We LOVE traveling and have done LOTS of it over the years (all over the US, St. Barths, Cancun, Spain, Virgin Islands, etc.) So <ahem> yes please!

TIME: How much time should we book you for?
When trying to determine how much time you should allot for us on the wedding day, keep in mind that we MUST have at least 60 minutes before the wedding dress goes on. This will give us sufficient time to get any last minute makeup/hair shots with the bride as well as detail shots, such as the dress while it’s hanging up, shoes, gifts, notes, and other little moments we find pertinent to telling a good story. Fast forward to the end of the day, and as the formal dances are finished (bride+groom, daddy+daughter, mother+son, bridal party, etc.), we request a minimum of 30 minutes to capture some party dancing. Of course we’ll come earlier and/or stay later, but 60 minutes before the dress goes on and 30 minutes after the party starts are the minimum requirements for us to feel comfortable that we have enough footage to create your wedding film.

Additional coverage outside of our package hours is currently $300/hour per filmmaker or $500/hour for the whole team.

Most weddings tend to fall behind a bit, so we advise that you have about 30 minutes of cushion in your coverage time. So consider planning on us showing up 60 minutes before the dress goes on and leaving 1 hour after the dance floor opens.


FILMMAKER: Who will be shooting my wedding?

Your Lead Filmmaker will be one a handful of extremely talented shooters who follows, shall we say the “Epic Motion Way”. It’s a very specific workflow that we’ve developed that we expect our teams to follow in order to deliver consistently amazing results. In fact, the videos in our portfolio on our website feature weddings shot by all of our main Lead Filmmakers. Can you tell a difference from film to film? Chances are, probably not.

We do not put just anybody in this position, as our reputation is on the line. So rest assured, you’re getting one of the best shooters around. You will know who your lead filmmaker is before your wedding. It is our goal to spend time with you before your wedding so you feel totally comfortable, please plan on meeting your lead filmmaker for a meal or coffee on us a few weeks before the wedding. We will take care of coordinating that with you when it comes time.

FILMMAKER: Can I request ____ to be my Lead Filmmaker?
Yes! – (If you have some extra room in your budget). Once in a while couples will request one shooter or another based on who they’ve met or heard about from another vendor. We assign teams based on schedules and the needs of each wedding and that doesn’t happen until about 2 months before your wedding. If you really want to make sure you have one shooter or another, you can do that for a $1000 fee. This allows us to secure that shooter way in advance so we can guarantee their availability for your wedding. Without that fee, we simply can’t promise one shooter or another. That said, when you hire Epic Motion, you are getting an Epic Motion film, which means that no matter who is shooting, we are going to deliver at the highest level.

DELIVERY: When will we receive our wedding film?

Our finished films are delivered up to six months after the event as long as we have the completed Post-Wedding Worksheet, which you’ll receive following your wedding. Same Day Edits are obviously played the same day of the event, trailers are online within 4 weeks of the event, and everything else is delivered within the six month timeline.

BLOG: Will our video be featured on the Epic Motion blog?
This is not something we can guarantee. There are many different factors that go into what videos get featured on our site. Because of these variables, we only blog a small percentage of all the events we film. Provided you are receiving digital or USB delivery, you will get the digital files of your videos so you can upload to YouTube, Facebook, etc.

SAVE THE DATE: Will you pencil us in or save our date?

We wish we could! But we can’t. We try to give you all the information you need as soon as possible in order for you guys to make the best decision. If you’re certain you’d like us to film your wedding, but you need a bit more time to decide which package best fits your needs, the “Save My Date” option was created for you. To lock in your date, we’ll just need a signed contact and $1,000 non-refundable deposit, applicable towards the package of your choice. Once that’s squared away, you’ll have 30 days to decide on a package, knowing your wedding date is guaranteed! We recommend that if you are not sure you want to hire us today, that you are actively setting up consultations with other studios in order to get who you want before the studio gets booked.

PAYMENT: When do we owe you money?

30% is due upon booking, 60% is due 4 months prior to the event and the remaining 10% is due 30 days before the event. If you add hours or anything before the wedding, those items will be made due before the wedding. If anything is added after the event, payment will be due immediately.
Important: a late fee of 5% of the payment in question will be added to your invoice for every month your payment is overdue. We hate to do this, so please let’s avoid awkwardness at all costs. 🙂

PAYMENT: Is there a discount if we pay with cash or check?
We do not provide a discount for paying with cash or check, however cash or check is preferred as it helps us out a lot as a small business. If you are writing a check, you can make it out to Epic Motion. If you’d like to mail in payments in the form of a check you can mail them to our studio at 1490 Premier Dr. Suite C, Troy, MI 48084.

PAYMENT: Is my deposit refundable?
You will notice in our contract that it states your deposit is non-refundable. We understand that things happen and there may be an instance where your wedding is called off or you want to back out. Please understand BEFORE you book us that your deposit is not refundable under any circumstances. Please make sure you understand the entirety of our contract BEFORE you sign it (the same goes for any vendor you intend to book for your wedding). If there is anything you are not in agreement with, those things need to be addressed before you sign. 

FINDING THE RIGHT FIT: EVERYTHING is going to be PERFECT, right? It better be, or else…
We can promise you we will do everything we can within our power to make every part of your experience with us and your wedding videos everything you dreamed. We also need you to understand that this is event filmmaking, there are no re-dos, and our team’s focus on filming for the creative edit(s) – Main Feature, Vignette, or Highlights Reel – to make sure those are the most amazing and inspiring they can be.  That means the documentary edits (ceremony and reception edit for example) come secondary to the creative edits in our minds. If your mindset is that the documentary edits are of equal importance to the creative edits, or if you are just wanting to hire us primarily for the documentary aspect and not our storytelling capabilities, then we might not be the best fit. In any case it would be a good idea to talk to us about your expectations for the final product and what is most important to you and your families so that we are on the same page and can plan accordingly.

MUSIC: Do you pick the music for the film or do we pick it?

Great question. We go through a rigorous process to understand our clients likes and dislikes. First things first: we WILL NOT use music if we cannot attain the proper licensing. We believe each wedding film is unique and we attempt to keep our musical choices fresh while considering each couple’s style. If there’s a song you love that MUST be in the film, we’re happy to take a listen. We’ll incorporate it as long as we don’t foresee an interference with the editing process and the finished story, AND as long as it fits within our budget for licensing music. If you are able to work out a license agreement with the particular artist, that’s something we’ll consider as well. Some sites we use for music include Musicbed, and Song Freedom.


COLLABORATION: Can we to tell you what we want to see in the film(s), or should we just trust you?
Yes, and yes. Our producers and editors are very good at their jobs, and we are pretty meticulous when it comes to delivering an impactful story to each and every couple who hires us. We are also very diligent about making sure the film hits all the important points we’ve discussed over the process of getting to know each other, down to the smallest of details. By the time we start editing, we’ve gotten to know you pretty well, and are confident that we’ll deliver something you’ll love. However, we know that you may have some people, or happenings from your wedding that you’d like us to work into the story (and maybe some people, or happenings you DON’T want us to include), and we give you the opportunity to communicate that through our Post-Wedding Worksheet. You will receive this following your wedding before we begin the editing process. That worksheet must be filled out before we begin editing, and may delay our turnaround time if it’s not ready to go by the time we are ready to jump into your project. As an added bit of piece of mind, you will get the opportunity to request changes to your creative edit(s) before we finalize everything. We offer you 1 hour of revision time at no charge, which typically takes care of any feedback like “can you replace this shot… put more of this person in… take out this person…”  Beyond that we are more than happy to continue making revisions, and we will work out a cost estimate with you before we continue.
